Neither would they communicate for transferring funds to any personal account or to install third-party apps like Any Desk, TeamViewer. In case you get into any of such act or any loss of your money, TIPL strictly will not be responsible for any sort of losses.
Cancellation Policy
No Show for Individual (FITS) Visits/Packages:
In case of cancellation of tour/travel services due to any unavoidable reason/s we must be informed of the same in writing and this will be effective from the date we receive a letter in writing.
The cancellation charges would be as follows:
- 60 days or more prior to arrival - 15% of the tour/service cost.
- 59 days - 30 days prior to arrival - 30% of the tour/service cost.
- 29 days - 15 days prior to arrival - 50% of the tour/service cost.
- 14 days – 0 days, prior to arrival or no show - NO REFUND.
Note : If booking for following period is/are cancelled, due to whatsoever reason, no refund would be made for said cancellation.
- High Peak Season bookings (from 20th December to 15th January).
- Festival Period Bookings (Festivals like -Diwali, Dussehra, Holi, Pushkar fair etc).

Cancellation Policy (Unforeseen Situations)
In case of cancellations due to unforeseen circumstances such as natural disasters, political unrest, war-like situations, pandemics, government restrictions, or any situation beyond our control, the following policy will apply:
Force Majeure Clause
If a trip is canceled or interrupted due to events beyond control (Force Majeure), we will make every effort to minimize losses and assist clients with alternative arrangements.
Refund Policy :
Refunds will be processed after deducting:
- Non-refundable hotel bookings
- Airline cancellation charges
- Visa fees and third-party service charges
- The remaining balance will be refunded or offered as a credit note for future travel.
Credit Note Option
- Clients may opt for a credit note, which can be used for future bookings.
Supplier Terms
- Cancellation and refund are subject to individual hotel, airline, and transport provider policy
Important Note
We strongly recommend that clients purchase travel insurance to cover unexpected cancellations and losses.
Cancellation Policy for the Luxury Train Journeys
- Children up to the age of 5 years will be complimentary; however, it will be in the same cabin.
- Tariff will be charged for the children aging above 5 years but less than 12 years @50% provided they sharing the accommodations with the adult.
- One cabin has occupancy of 2 adult Pax only, additional mattress can be provided for infants or child below 12years based on policy
- Surcharge of 10% will be applicable during Christmas (25th December) and New Year (1st January) departures.
- For special festive departures like Christmas (25th December) and New Year (1st January), a surcharge of 10% will be added on the total fare of the Palace on Wheels train tour.
- GST (Goods and Service Tax) will be applicable On total journey price of Palace on Wheels, as per the Government rule.
- The above mentioned tariff is subject to change without a prior notification.
- Indian Rupees (INR Tariff) will be applicable for the guests having any one of these Indian Indentity proof (Passport/Voter ID/Aadhaar/Pan Card, OCI).
Inclusions / Exclusions
- The fare of Palace on Wheels covers the following
- Travel, catering, conducted sightseeing, entrance fee at monuments/parks/palaces, cultural programs, camel ride at Jaisalmer, boat ride at Udaipur and rickshaw ride at Bharatpur.
- Canter Safari will be on sharing basis at Ranthambore National Park.
- Exclusive Car and Guide services will be provided for Sightseeing and Excursions with the Booking of Super Deluxe (Suite) Cabin
- The fare of Palace on Wheels doesn't cover the following
- Drinks, tips, laundry, telephone calls, video camera fees, business car facilities, liquor and other items of personal nature.
Booking Policy
- 25% of the tariff at the time of the confirmation of the booking.
- Remaining 75% of the tariff needs to be paid 60 days prior to departure.
Cancellation Policy
In case of travelers want to cancel the tour, they need to intimate Palace on Wheels via fax or e-mail. The refund of the money is solely based upon the number of days left for the departure of the train
- 10% of ticket value shall be deducted on cancellation between 120 to 90 days before the travel date.
- 25% of ticket value shall be deducted on cancellation between 89 to 60 days before the travel date.
- 50% of the ticket value shall be deducted on cancellation around 59 to 30days before the travel date.
- No refund shall be admissible in case the booking is cancelled within 29 days before the departure date.
- On cancellation of booking Suo-moto by Operator 100% of the fund deposited (without any kind of additional charges/claims) will be refunded.
- However, Operator will not be liable for any refund or compensation for any services such as pre/post accommodation, airline tickets, and excursions etc. that have been booked by the guest and/or their Travel Agent.
- Operator, under information to RTDC reserves the right to cancel the tour/trips at any given point of time to whatsoever reasons, 100% of received amount will be refunded in such cases.
- Operator will review and apprise the agents of such instances 60days prior to departure in case of low occupancy. Operator has the right to cancel the departure upto 30days prior and inform the agents or individuals of such bookings.
- The minimum occupancy defined is of 50% to run the operations, i.e.17cabins.
Maharajas' Express Terms and Conditions
This is to inform you that in line with government guidelines for safety & welfare of our guests, IRCTC has come up with some relaxation in booking for Maharajas' Express season 2025 - 26. This relaxation is to mitigate the spread of the Covid-19. Kindly find the details as mentioned below:
- Name change is allowed before 45 days prior to departure subject to mail received directly from any of the booked guests with proper reason and who is definitely travelling. Two times name change is allowed for season 2020-21, if requested directly by the guests to Travelogy India.
- Date change is allowed before 45 days prior to departure subject to availability and mail received from the agents or guests (direct booking). The difference arising in change of itinerary to be collected or refunded back accordingly. Two times date change is allowed for season 2025 - 26. If guest go for date change and further change of mind due to panic condition and want full refund, IRCTC will process full refund.
- Name change or date change will be allowed subject to submission of passports copy and full payment before 45 days prior to departure.
- Under such cases penalty and incentive clause will not be applicable due to relaxation given above.
- Rest all the terms and conditions as per the policy.
The above relaxation is valid for season 2025 - 26 only.
Booking Policy :
- You have a choice of making the entire payment in one go or pay a booking amount of 25% of the tour cost at least 90 days or more prior to the departure date and the balance latest by 60 days prior to the departure of the tour.
- If a booking is made 59 days or less prior to the departure of the tour, then the full 100% payment need to be made.
- All the booking requests will be processed based on the above mentioned payment policy failing which bookings may be released / cancelled and relevant cancellation charges will be applicable following deduction for services rendered.
- On completion of the booking and payment formalities, a confirmation will be sent to you. Kindly review & check the confirmation and advise us of any errors, if any, immediately. The final documentation containing the itinerary and voucher will be sent through an e-mail 14 days prior to date of departure. The originals will be handed over to you once you arrive in India.
- On payment of the booking amount, you will receive an acknowledgement for the amount paid. All the relevant bank charges will need to be borne by the travellers.
- The prevailing rate of exchange on the date of the transaction would be applicable.
Cancellation Policy :
For any cancellation days are counted excluding the date of departure
In case of FIT's:
- 60 days or more prior to departure, 25% of published price.
- 45 to 59 days prior to departure, 50% of the nett amount.
- 0 to 44 days prior to departure, 100% of the nett amount.
In case of Group Booking:
- 120 days or more prior to departure, 5% of published price.
- 90 to 119 days prior to departure, 10% of published price.
- 60 to 89 days prior to departure, 25% of nett amount.
- 30 to 59 days prior to departure, 50% of the nett amount.
- 0 to 29 days prior to departure, 100% of the nett amount.
No show / En route termination of tour/ Amendment :
- No Show : In case of No Show / Non-arrival of the guest, no refund or adjustment in future travel will be possible. The whole amount shall be treated as forfeited.
- En Route Termination of Tour : In case of termination of tour by the guest, for any reasons, no refund or adjustment for future travel will be possible. The amount for unused portion of the tour shall be treated as forfeited.
- Amendment - Is only possible under the circumstances like Natural Disaster / Natural Calamity or Serious Health Problem's (this needs to be supported by doctor's certificate) and is subject to availability. No refunds are possible and every case will be decided on merits on a case to case basis. No amendment will be permissible in case of booking of groups or complete train.
Child Policy :
Maharajas' Express does accommodate children but we ask parents to be mindful of the sophisticated adult atmosphere we endeavour to maintain.
A) For Deluxe/Jr.Suite/Suite Cabins
- Children below 5 years shall be allowed free, subject to sharing of double bed with parents.This is subject to availability of double bed at the time of booking. Single child (5 years - 12 years) sharing cabin with adults - 50% of the adult fare, subject to sharing of double bed with two full paid adults.This is subject to availability of double bed at the time of booking. OR
- Single child (5 years - 12 years) in a separate cabin -50% of the(adult fare + Supplement charges) if requested in a separate cabin.
- Two child (5 years - 12 years) in a separate cabin - 50% of the adult fare for each child in a separate cabin on twin sharing basis. Three child (5 years - 12 years) in a separate cabin - 50% of the adult fare for each child subject to sharing of double bed. OR
- If third child request in a separate cabin - 50% of the (adult fare + Supplement charges). Single child (5 years - 12 years) + one adult in a separate cabin:- Two adults fare on twin sharing basis.
- Two child (5 years - 12 years) + one adult in a separate cabin:- One adult fare plus 50% of the adult fare for each child subject to sharing of double bed.
B) For presidential suite cabin
- Children below 5 years shall be allowed free, subject to sharing of double bed in PS.
- Single child (5 years - 12 years) sharing cabin with adults - 25% of the adult fare, subject to sharing with two/three/four full paid adults in PS.
- Two child(5 years - 12 years) in a separate cabin - 25% of the adult fare for each child in a separate sub cabin on twin sharing basis subject to sharing with two full paid adults in PS.
- Three child (5 years - 12 years) in a separate cabin - 25% of the adult fare for each child subject to sharing of with two/three full paid adults in PS.
- Single child (5 years - 12 years) + one adult in a separate cabin:- Two adults fare on twin sharing basis in PS.
- Two child (5 years - 12 years) + one adult in a separate cabin:- Two adults fare on twin sharing basis in PS + 25% of the adult fare for 2nd child.
Note :
- Child booking if requested in a separate cabin is subject to travelling with the adults. It is to be noted that single child has to share guide/vehicle with adults travelling together in case of Suite & PS cabin booked pax. In case, a separate higher category vehicle is required then supplement will be levied
- Please note that we do not have the facility for interconnecting cabins except in the Presidential Suite Car.
- All applicable taxes will be charged extra.
Policy On Guide/Vehicle
I) Policy on Guide (PS & Suite Cabins):
We will provide a Local English/ Language speaking local guide at each destinations on complimentary basis.
Note :
- In case guests desire for accompanying English/ Language speaking accompanying guide throughout the tour, it will be provided on chargeable basis subject to availability.
- In some of the destinations language speaking local guides are not available. Whereas language speaking local guides at those locations will be tried but not guaranteed, we will provide English speaking local guides.
II) Policy on Guide with separate vehicle for Group Bookings:
In case, a group desires a separate vehicle/guide the policy will be followed as under:
- For a group (14+1 pax or more) an air-conditioned deluxe bus with local English/ language speaking local guide may be provided on complimentary basis but a Volvo Bus can be provided at supplement cost.
- For a group (28+2 pax or more) Volvo bus with local English /language speaking local guide may be provided on complimentary basis.
Note :
- In case guests desire for accompanying English/ Language speaking accompanying guide throughout the tour, it will be provided on chargeable basis subject to availability.
- In some of the destinations language speaking local guides are not available. Whereas language speaking local guides at those locations will be tried but not guaranteed, we will provide English speaking local guides.
III) Policy on Guide with separate vehicle for Full Train and charter Bookings:
- For Charter & full train booking the sightseeing shall be provided on sharing seat in coach basis and English Speaking/ Language Speaking Local Guides on complimentary basis.
- For Exclusive Vehicles or accompanying English/ Language Guides a supplement cost shall be charged.
Policy on De-boarding en-route for shorter itineraries:
Treasures of India is the itinerary for 3N/4D package, the cost for the itinerary may be reduced by 12% of the published tariff, if guest is availing 2N/3D package and can deboard at Jaipur after availing off board services at Jaipur.
Booking for Presidential Suite Cabin: 50% reduction in tariff for 3rd and 4th guest. Further 50% reduction on reduced tariff will be given for child accompanying 2 adult guests in PS cabin for season 2025 - 26.
- All Deccan Odyssey Costs are in USD
- The above costs are per cabin per Journey
- As the train runs on the tracks of the Indian Railways, the itineraries are subject to change in case of any changes in the routing etc.
- Prices are subject to change in case of any amendment in the routing or other hikes such as fuel, taxes etc.
- Children below 5 years of age shall be allowed free, subject to sharing of double bed with parents. This is subject to availability of double bed at the time of booking
- Presidential Suite can accommodate up to 3 adults or 2 Adults and 2 children (One child up to 5 years of age and second child up to 12 years of age)
- Government Service tax of 5.00% (subject to change as per Govt. directives) is additional and will be charged extra on the invoiced amount.
Child Policy:
- Deccan Odyssey does accommodate children but we ask parents to be mindful of the sophisticated adult atmosphere we endeavor to maintain.
- One child up to 5 years of age shall be allowed free of cost in the Deluxe Cabin, subject to sharing of double bed with parents. This is subject to availability of double bed at the time of booking.
- For families, with a child between 6-12 years of age, or, with two children with one child below 5 years and another between 6-12 years, we recommend the Presidential Suite which has a double bed in the bedroom and can be shared with a child below 5 years and a sofa cum bed in the living room which can accommodate the older child. In this case, the child/children will be accommodated free of cost.
- In case of two children between 6-12 years of age travelling with their parents, you will have to take 2 cabins. The first child pays 25% of the adult fare and the second child will have to pay 50% of the adult fare. One of the parents will have to be present with the child / children in the cabin.
- Please note that we do not have the facility for interconnecting cabins.
- All applicable taxes will be charged extra.

- All meals (B,L,D)
- Soft beverages during the journey
- Valet service
- Still camera fees
- Guided off train excursions and game drives as illustrated in the itinerary - inclusive of entrance fees, park fees, transport and services of an English speaking local guide
Exclusions
- Taxes including 5.00% (subject to change as per Govt. directives) Government Service tax, Insurance , gratuities
- Laundry and alcoholic Beverages
- Video and professional Still camera fees
- Arrival and Departure transfers
- International and Domestic air tickets
- Pre and Post tour accommodation and any tour extensions unless specifically mentioned as a part of the journey
- All activities mentioned as ‘options’ in the itinerary.
Payment & Cancellation Terms
Payment
Cancellation:
- No cancellation on cancelling 60 days prior to the departure date
- Retention of 20% of ticket value on cancelling 59 – 45 days prior to the departure date
- Retention of 50% of ticket Value on cancelling 44 – 30 days prior to the departure date
- Retention of 100% of ticket value on cancelling 29 days prior to the departure date
Important Note:
(For the Cancellation of Individual, Group Tours & Luxury Trains):
- Regardless of the above-mentioned cancellation tab, in case of cancellation of the tour/ travel services (due to any reason) by the client, after booking is made with us – a minimum of 10% service charge would be applicable on the total cost of the tour package.
- Regardless of the above-mentioned cancellation tabs, in case of the cancellation of the confirmed tour/ travel services (due to any natural calamities that is unavoidable), then the following two options can be available:
- Client would be provided with Credit Note facility for the advance amount paid by him/her and the same can be used by the client anytime in future travels for themselves or any other person related to him in his family, friends or relatives.
- In case the client urges for the refund- then a minimum of 10% service charge would be applicable on the total tour cost and the remaining amount (after lessening 10% service charge) would be refunded to the client.
- In case the client cancels the tour after beginning /in the middle of the tour, in that case the refund would depend on the amount we would be able to levied from the hotels/inns. For the unused hotels, transport, meals, guides or any other travel service, the company would not be responsible for any refund.
- Cancellation amount would be calculated on the total tour cost of the booking and not on the advance amount paid by the client.
Cancellation Policy For the Flights Tickets:
Flight Tickets booked are non refundable. Name change and date change can be considered as per the rules stipulated by the airline.
Cancellation Policy for the Wildlife Game Drives :
Wildlife game drives booked into any Wildlife National Park/Sanctuaries are non refundable. Even date change request will be considered as cancellation and no payment can be refunded/ adjusted against it. This is as per the Government rule and regulations.
Mandatory Identification Document Detail:
It is Mandatory for all guests (Foreign Nationals, NRI’s and Indian Nationals) to provide Photo ID at the time of booking confirmation of tours. The given below Documents are applicable for different categories:
- For foreign nationals – Copy of Passport + Visa is mandatory.
- For Non Resident Indians clients (NRI client) – copy of passport.
- For Overseas Indian clients holding OCI / PIO card – copy of passport and copy of OCI/PIO card is mandatory.
- For domestic clients – copy of Driving License / Voter ID Card / passport is mandatory.

Travelogy India Pvt Ltd. shall not be held responsible or liable for any delay, alteration in the program, additional expenses, or any special, consequential, or incidental loss, injury, or damage — whether directly or indirectly — arising from causes beyond our control, including but not limited to the following:
1- Natural Causes & Disasters
(I) Natural calamities such as earthquakes, floods, landslides, storms, or other acts of nature (“Acts of God”).
(II) Weather conditions leading to travel delays or cancellations.
2- Transportation Issues
(I) Flight delays, rescheduling, or cancellations by airlines.
(II) Breakdown or malfunction of vehicles, transport equipment, or other machinery used during the tour.
(III) Perils incident to the sea, river, or any other mode of travel.
3- Health & Safety Factors
(I) Illness, injury, accidents, epidemics, or quarantines affecting the traveler or group.
(II) Medical regulations or restrictions imposed by health or government authorities.
4- Political or Administrative Actions
(I) Political closures, strikes, civil disturbances, riots, or wars.
(II) Acts, orders, or regulations imposed by governments or local authorities.
(III) Customs or immigration restrictions or delays.
5- Unforeseen Circumstances & Third-Party Defaults
(I) Fire, theft, or pilferage.
(II) Defaults or failures by suppliers such as airlines, hotels, transporters, or other service providers.
(III) Any other cause beyond the reasonable control of Travelogy India Pvt. Ltd.
6- Client Responsibility for Extra Costs
(I) Any additional expenses, liabilities, or losses arising from any of the above situations shall be borne solely by the client.
Travelogy India Pvt. Ltd. shall not be liable for compensation, refund, or reimbursement due to such circumstances.
Mode of Payment Option:
The clients can make the payment by Bank Transfer or by Credit / Debit Card.
Note:
- All the Bank charges for the remittance (by remitting bank or by intermediary bank) would be bearded by customer only.
- Transaction processing fees will be charged by the customers if the customer is paying by Credit / Debit card by using payment Gateway.
Payment Terms - Credit Card Charge-Back Policy:
By proceeding with a payment transaction using a credit card, the client acknowledges and agrees to the following terms:
- In the event of any disputes, discrepancies, or requests for a "charge-back" facility initiated by the client, Travelogy India (hereinafter referred to as "the Merchant") shall not bear any Transaction Charges Plus GST or other charges associated with the charge-back process.
- The Merchant reserves the right to recover any such charges directly from the client or deduct them from any applicable refunds, if due, following the resolution of the charge-back.
- The client is solely responsible for ensuring the accuracy of transaction details before completing the payment process to avoid disputes. Any fraudulent or unwarranted charge-back claims will be subject to legal action as per the governing laws.
- By proceeding with payment, the client confirms their acceptance of these terms and waives any claims related to the aforementioned charges.
Refund Policy :
In regard to refund of unused / unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policy as described above and the money would be accordingly refunded to the person who has made the payment to us.
Please note that the refund process may take minimum 5-6 weeks due to banking procedures. If the refund is made to the credit card account OR to Bank account, the bank charges would be debited from the refund amount. Only written communication shall be entertain in regard to Refund part.
